MA16 Shipping Manager (Export)
 
Reports to: General Manager/Chief Executive Officer.

Supervises: Shipping clerks, supply and distribution staff.

Main objectives: Manage all aspects of involvement in the shipping of the company’s products to international markets and customers. Ensure coordination of all shipping activity within operations on a port by port basis, specifically; shipments and export order files are coordinated and administered, ensuring quality and specifications of the products match contract requirements, and shipping schedules match with production capacity and customer delivery requirements.

Typical functions and responsibilities:
  • Determine the most appropriate shipping arrangements for export and associated shipping business.
  • Ensure that the shipping is provided as efficiently as possible to meet ongoing sales and marketing, production and customer requirements.
  • Schedule vessels to meet sales requirements, monitor deliveries, ship loading, inventory, specifications quality, and stock rotation, and in so doing, provide the most efficient and effective shipping capability for the company.
  • Communicate with Area Managers information on customer delivery schedules and cargo specifications and ensure customers are notified as required.
  • From time-to-time visit all ports/operating areas to ensure sales arrangements, port facilities, geographic load and discharge rotations are the best possible.
  • Monitor ship loading performance along with Area Managers. Trouble shoot all day to day vessel related problems as necessary. Prepare, check and communicate stowplans to Area staff. Ensure all shiploading activities are carried out in the accordance with applicable safety standards and company requirements.
  • Develop a file on customer requirements.
  • Develop and maintain a comprehensive vessel data base system on stowage factors, weight factors, underdeck ondeck volume percentages and final sailing conditions for all vessels, and vessel types and use this to guide and determine optimum shipping from time to time.
  • Responsible for accurate generation of lists, ship manifest, stowage plans and Bills of Lading.
  • Liase between Operations accounting and customers to ensure all shipping documentation is being prepared on a timely basis, and all payments are checked, made, and received as quickly as possible.
  • Calculate and settle any shipping claims.

Typical qualifications and experience: Five to ten years work experience. Administrative planning and organisational skills.
